Retail Regional Director - Facilities Management – Midlands – Circa £60,000

You will be responsible for the provision of all on-site services across a portfolio of retail sites. Main duties will include delivering high quality environments, responsible and ethical procurement, well managed service charge budgets, great customer liaison with clients and customers, leading safety and compliance, delivery of environmental and sustainability strategies, social value programs and places that make customers proud to come to work. Alongside this you will be responsible for producing reports and driving standards of compliance and procurement within the retail portfolio through the site team’s delivery.

The Role

  • Providing the highest level of service standards to clients, building and occupiers.
  • Fully understanding the Clients contractual obligations for FM service delivery
  • Working with the Property Managers to understand the Client’s objectives and develop FM strategies for each building
  • Assembling, or managing existing, service delivery with Service Partners, liaising with Procurement and finding ways of adding value, and driving efficiency
  • Selecting the best possible people for the portfolio whether they will be directly employed or provided through service partners
  • Liaising with HR, and smoothly executing, TUPE transfers as properties come in and out of management
  • Overseeing and assisting with the setting of service charge budgets and explanatory guides, and monitoring expenditure, commitments and cash flow during the service charge year, and providing additional training where required
  • Supporting the Property Managers and Accountants with the yearend reconciliation process
  • Monitoring statutory compliance, instructing audits, assessments and specialist advice, aligning with service partners for control documents, log books and online management systems. Doing so completely and on time, alerting the Head of FM for any areas of non-compliance and finding remedial solutions
  • Overseeing the regularly inspecting and recording all properties for condition, standards, and occupier compliance with covenants within portfolio
  • Working with Surveyors and Site teams on occupiers fit out or re-fits. Working strategically with Building Consultancy team as they manage the approval process, and coordinate the works on site to ensure other occupiers and base build services are suitably protected. Implementing permit management systems.
  • Commission Long Term Asset Replacement Plans, and monitor PPMs to ensure buildings are managed proactively, responsibly and that the service charge budgets and property plans are fully aligned
  • Encourage placemaking, enlivenment initiatives, and improved customer experience with site teams, including liaison with commercialisation agencies
  • Contribute to the development of Customer Experience frameworks for the portfolio to improve occupier satisfaction and retention
  • Implement data collation services, technology and equipment to support environmental management plans
  • Oversee the development of and implementation of sustainability action plans, monitor resource consumption and generate ideas for greater efficiency and reduced carbon emissions. Promote and implement recycling initiatives across the portfolio
  • Support the Procurement team with tender programmes and contractor performance reviews
  • Manage contractor/supplier performance, using tools such as the service desk, finance systems and compliance systems to report back to the central procurement team
  • Assist with the line management of team members - setting targets, providing frequent and useful feedback, providing coaching, identifying additional training and being a role model to others, and report back to the line managing surveyor
  • Work with the Head of Mobilisation/Head of Customer service where required & Head of Sustainability on portfolio initiatives
  • Management of FM fee income
  • Seek and introduce ideas for innovation and technology for discussion & assist and support in pitches for new business
     

Level of Experience

  • A track record of FM in multi-let office buildings. Experience in investor-FM helpful.
  • Experience across buildings of different ages and sizes - a strong understanding of systems, equipment, technology and landlord’s services is helpful
  • Dealing with occupiers through fit out and everyday occupation and what matters to them
  • A good working knowledge of H&S, environmental and statutory regulations & working knowledge of FM in hard and soft services
  • A reasonable knowledge of networks, building management technology, industry software, compliance platforms and PO/invoice approval systems
  • Demonstrably strong customer service skills
  • Proven experience in service charge budgeting and understanding of RICS Codes
  • Implementing processes and procedures and bringing teams through to deliver them
  • Health and Safety (NEBOSH/IOSH)
  • IWFM Member
  • RICS (Facilities Management) or working towards it desirable
